Most masjid treasurers we meet are volunteers with full-time jobs. They are not short of diligence — they are short of evenings. So the goal is not a more elaborate accounting system. It is a routine short enough that it actually happens every month.
The five steps
1. Reconcile the counter
Every subscription and donation collected at the masjid should already be a receipt in the system, issued at the moment the money changed hands. At month end you are only checking that the cash in hand matches the receipts issued — not reconstructing the month from memory.
2. Post what came through the bank
Bank transfers are where records slip, because nobody is standing at a counter when they arrive. Go through the statement once a month, match each credit to a member, and record it. Anything you cannot place goes to a suspense line — never guess.
3. Look at arrears while they are still small
Run the outstanding subscriptions report. A household two months behind usually just forgot; a household eight months behind is now an awkward conversation. The point of running this monthly is to never let it become the second kind.

4. Record expenses in the month they belong to
The electricity bill, the imam's allowance, the repair to the ablution area. Entering these late is what makes two months look strangely good and strangely bad in a row. Post them against the month they belong to, not the month you got around to it.
5. Produce one page for the committee
Opening balance, income by category, expenses by category, closing balance, arrears total. One page. If the committee wants detail they can ask for the ledger — but the one page is what gets read, and what gets read is what gets acted on.
Why the routine beats the software
A perfect system used once a year tells you less than a plain one used every month.
VMasjid will give you the receipts, the ledger, the arrears report and the monthly summary. What it cannot do is pick the date. Choose one — the first Saturday of the month works for most committees — and put it in the calendar before you start.
